Operational systems and databases

Build operating databases and review the procedures, tools and records used to run the business.

Who this is for

Kitchen, restaurant and catering teams dealing with scattered spreadsheets, repeated data entry or records they cannot rely on.

What we work on

We review how information moves through purchasing, storage, production and dispatch. We look at the tools in use, who enters the information, how it is checked and which reports people need.

Database construction can cover ingredients, suppliers, orders, goods received, stock locations and movements. It can also include standard recipes, yields, portions and food costs. We agree the fields, units and links between records, with checks to reduce inconsistent entries.

For food safety work, the agreed database can include ingredient and recipe allergen records, SOP versions, monitoring logs and corrective actions. We define who checks the information, who can change it and how updates reach the team.

The work includes deciding who will maintain the records and what training they need. We first assess what the existing tools can do, then specify any new platform, migration or integration required.

What you receive

What you receiveWhat it covers
Systems reviewProblems in the current procedures, tools and records.
Database structure and buildThe agreed records, fields and relationships.
Reporting routinesWhat to report, how often and who checks it.
Training and handoverInstructions for using and maintaining the system.

What we need from you

We need examples of the spreadsheets, databases, procedures and reports currently in use. We agree access and handling arrangements before receiving confidential records.

The proposal names the platform, records, migration requirements and support included. Software development, integrations, subscriptions and infrastructure work are specified separately where needed.

Before we start

Do you build databases?

Yes. We can design and build the operating database agreed for the project, including its records, fields, relationships and checking routines.

What is an operating systems review?

It is a review of the procedures, software tools, records and responsibilities used to run the kitchen or foodservice business. We look for missing information, duplicated work and routines that need to change.

Can you use our existing tools?

We start by reviewing them. Some problems can be resolved with better records or working practices; others need a change of tool or an integration. We explain the requirements before agreeing the build.

Can you help us choose new technology?

Yes. Our equipment and technology selection service reviews options against operating needs. We then agree any database build, migration or integration as a defined piece of work.
